Timroll is a payroll and human resource management system developed and operated by Kuranga. It is provided to authorized clients under contractual agreements.
This Privacy Policy explains how Timroll collects, uses, processes, and protects personal and financial data, including data accessed through integration with QuickBooks Online provided by Intuit.
Timroll complies with applicable data protection laws and Intuit Developer Platform policies.
2. Information We Collect
Timroll may collect and process the following categories of data:
- Employee Information: names, roles, salaries, payroll records, and employment details
- Employer/Organization Data: company name, structure, and administrative data
- User Account Information: names, email addresses, authentication credentials
- Accounting and Financial Data: invoices, expenses, payroll-related financial records, and reports accessed via QuickBooks Online
- System Usage Data: logs, activity history, and performance metrics
We only collect and process the minimum data necessary to provide our services.
3. Purpose of Data Use
Data collected by Timroll is used strictly for the following purposes:
- Managing payroll and human resource operations
- Generating payroll reports, payslips, and analytics
- Synchronizing payroll-related financial data with QuickBooks Online
- Improving system performance, reliability, and security
- Ensuring compliance with legal and contractual obligations
We do not use data for purposes unrelated to the services provided.
4. QuickBooks Online Integration
Timroll integrates with QuickBooks Online through secure APIs provided by Intuit.
By connecting QuickBooks Online, users explicitly grant authorization for Timroll to:
- Access necessary accounting and financial data
- Create and update payroll-related financial records
- Retrieve financial reports for reconciliation and analysis
Timroll accesses only the minimum necessary QuickBooks data required to deliver its functionality and operates in full compliance with Intuit Developer Platform policies.
5. User Consent and Control
Timroll only accesses QuickBooks Online data after explicit user authorization through the secure OAuth process.
Users retain full control and may revoke access at any time via their QuickBooks account settings.
6. Data Sharing
Kuranga does not sell, rent, or trade personal or financial data.
Data may only be shared in the following cases:
- With QuickBooks Online for integration and synchronization purposes
- When required by law, regulation, or legal process
- To protect the rights, security, and integrity of our systems and users
7. Data Security
We implement industry-standard security measures, including:
- Encrypted communications using HTTPS
- Secure OAuth token handling and storage
- Role-based access control and authentication mechanisms
- Continuous monitoring and system logging
We take reasonable steps to protect data against unauthorized access, loss, misuse, or disclosure.
8. Data Storage and Retention
Data is securely stored on cloud infrastructure managed by trusted hosting providers.
Data is retained only as long as necessary to fulfill contractual, operational, and legal obligations.
Each client's data is logically isolated and securely managed per organization in a multi-tenant architecture.
9. Data Deletion and Retention Requests
Clients may request data deletion or account termination by contacting:
Requests are processed within 30 days, unless legal obligations require longer retention.
Upon deletion, data is permanently removed or anonymized where applicable.
10. Data Breach and Incident Response
In the event of a data breach or security incident:
- Timroll will take immediate steps to contain and mitigate the issue
- Affected clients will be notified promptly in accordance with applicable laws and regulations
11. Client Rights
Clients have the right to:
- Access their data
- Request correction of inaccurate or incomplete data
- Request deletion of their data (subject to legal obligations)
- Withdraw consent for data processing where applicable
